ConTrack is a comprehensive, integrated call tracking and correspondence management and retrieval system designed specifically to track all communications between you and your constituents.With this program, you can track a constituent's calls, letters, faxes, email or other data communications and automatically refer the information to the correct department and individual for action. ConTrack will then generate a letter to the constituent detailing what is being done and maintain a record of all of the calls you have received and the final results.
You can track and create reports on turnaround times from various departments, service and opinion summaries as well as review all calls received to note constituent concerns. You can then make sure that each request is answered satisfactorily and even attach scanned copies of letters or other images with the click of a mouse button.
Along with basic information about your constituent callers, you can track detailed or personal information such as: Email address or company mail drop, Employer or Organization Voting District and Voter ID Number, Demographic Information such as Gender, Age, and Special Notes, etc. This information can be entered during a call or downloaded from existing records or County voting data for your city or county.
The contact history section contains information on each contact a constituent has made with your office. Information captured in the history section includes: Nature of communication, Issue, Method of communication, Current status of this call, and more. Much of the referral information is often automatically entered for you by ConTrack which then automatically produces a service request containing all the pertinent information about the call that can be printed, emailed, faxed or even published in Microsoft Word format. ConTrack will also produce a confirmation letter to send to the con-stituent confirming the receipt of the call and the action that is being taken. Boilerplate constituent letters and service requests can be edited prior to final printing and all reports can be printed, emailed or saved in HTML format for posting to your Internet home page.
