Any of these records can be assigned a folder type (i.e. Medical Results, Medical Consent, DOT Response, Payroll Deductions, Training, EEO, Insurance Paperwork, Employee Performance, etc.) and like document type, is based on a user definition. The user definition can be updated and changed by the user. The scanned documents are indexed by document type, category type and scan date. The design of this module was for manual entry of some of the indexes. Searching the Human Resource database is performed through simple to use "By Example" queries utilizing the index fields or by a more sophisticated "Where" query that allows index field search with Word-in-Text. In both methods the user is presented a list of Human Resource documents of which selection is made to display or print the selected document. Query specifications can be saved for re-use at a later time. The system stores and tracks the name of the employee, social security number, department, hire date, termination date and employee status. WinOcular will store multiple documents in relation to each employee. Clerical time required to scan and index items is less than half of that required to manually file and retrieve folders of information. Folders cannot be misfiled or lost. Document security by document type and by user. Eliminates the burden of paper storage. If other WinOcular modules are used, they will all have the same look and feel.
