Call Centre Rostering
For a Call Centre to operate smoothly it is essential that it is manned at all times with the correct number of personnel with the right skills. ProMis will prove invaluable when creating the Rosters as it provides all the necessary information of the available personnel, to get the right people with the right skills in the right place at the right time. This information is draw from all the various Modules to give the User complete up to date information.
Personnel Availability
ProMis holds a list of all staff and displays all those who are available to be used in case of an emergency, on a day by day basis;including how far (time wise) they are from the Office. At a click of the mouse it will display their normal base, their current attachment, their abilities and grades along with personal details which includes Address, Phone/Contact No., e-mail address etc.
Equipment/Vehicles
Just as ProMis retains details of personnel it can also be used to store information of Vehicles/Plant and their status/ unavailability—MOT, Service, Accident, Repairs etc. as well as location—normal and present.
Sickness
Sickness, because of it’s unpredictable nature, creates considerable manning problems, particularly if you are unable to keep track of who is ill now and who has actually returned to work. Even more so where Rosters and Shift work are concerned. ProMis does this as simply as possible by means of a special sickness module. All details of individual sickness, including Certificates (and their type), visits, and expected return dates are available to authorised personnel.
Course Planning
We all recognise that Training is vital and it can cause problems with Staffing, if several people need to be absent at the same time. ProMis keeps records of their Training and when refresher training is needed. As it knows the availability of people from the times they work and their planned absences it can indicate the best time to schedule a course for a group of people.
Working Time Regulations
It is a legal requirement to keep track of an individual’s working hours. In ProMis you can set minimum time between shifts and maximum duration of shifts. In any, user chosen, time period ProMis will provide; the daily hours, the Overtime and the total hours worked and calculate the number of hours available to keep within working time regulations or the excess!
Overtime
The Overtime Module, with restricted access, will keep Individual’s claims, their payment method and amount –time or pay. Time taken off in lieu is recorded and an accurate
outstanding balance is maintained. Payment may be costed to specific budget lines. ProMis makes available, at the click of a button, analyses of overtime costs for Individual Projects, Budgets, Departments - by month, running and projected annual totals.
Skills
Within ProMis personnel can have pre-designated skills and grades attached to them as can the post to be filled in the plan. When an attempt is made to assign a person with the wrong skills to any skilled post ProMis will immediately raise an alert which may be overridden. If it is overridden the post will appear in red on this screen and printouts so that a more suitable person may be used should they become available.
Management Statistics
From the information already entered in ProMis, comprehensive statistics to aid Management are available at the click of a button. These Analyses include Personnel, Skills, Costs, Budgets, Inventory of Equipment, Overtime, Sickness and Individual’s Worked Time. These Analyses can be displayed and printed in different formats including Graph and Table.
Intra/Internet
ProMis is not an ‘off the shelf’ product and so is constantly being updated to suit customer requirements. One of the latest requests is the incorporation of access to your own ProMis program via the Internet. Security would be provided so that Individuals would be able to access their own work schedules from home as could Management have access to the latest information from anywhere using Laptops and Mobile Phones.
